Here you add the work schedules that are needed
• Work state: it defines if an employee is working in the office, remotely, on vacation, on leave, etc. There are work states predefined by Bookker and also the organization´s administrator can create custom ones. Each state can be parameterized:
1. Block user bookings on days that have that state defined in their calendar and
2. Release fixed parking spaces automatically for users that have one assigned to a pool of spaces.
• Work calendars: Calendars are created based on work states and assigned to employees.
To view and create work states see the CALENDAR AND STATES section.
Both in the predefined and in the custom states we can enter an alternative name, which is the one that will appear in the calendar of the users, (see image) and we can also add two automations.
Automations (activating the corresponding switch):
1) Block user bookings on days that have that state defined in their calendar and
2) Release fixed parking spaces automatically for users that have one assigned to a pool of spaces.
Therefore in the image above, on the days marked with the green dot ("Work from home") the user could not make any bookings and his fixed parking space, if he had one, would be automatically released to the booking pool.
Unlike releasing a parking space manually, which is instantaneous, automated releases are 7 days prior, that is, the releases would not be reflected in the pool of spaces until 7 days prior to the release date.
Once the states are created, we create thecalendar(s). We enter the default name and state. Click on ADD RECURRENCE.
Recurrences
They allow you to set recurring states over time, limited or unlimited, that will change automatically. Order them from top to bottom according to priority in situations where they may overlap.
We choose the work states and how often that state is repeated, the beginning of that recurrence and finally the days of the week in which that state is going to be displayed every X weeks (this is the value selected in the "Repeat" field).
Click on "VIEW CALENDAR" to see how it will look in the application.
You can add as many calendars as you want.
Then we assign the created calendars to the users:
Within the side menu of the panel we click on USERS to view the calendars assigned to each employee.
We can assign calendars to employees one by one (1), to a selection of employees (2) (by group for example) and in bulk(3).
